How we handle your data

Clerke is built by Autimized, run by Adedeji Ademosu and Daniel Momah, based in Nottingham, for letting and managing agents in England and Wales. This page explains what we collect, why, and what rights you and your tenants have. Last updated 16 September 2026.

Who is responsible for what

Your agency is the data controller. You decide what a check-out assesses and for whom, and you hold the relationship with the tenant. Autimized is the data processor: we process check-in and check-out photographs, and the findings and figures Clerke derives from them, only on your instructions.

What we collect, and why

Check-in and check-out photographs of a rented property, the findings a model and a reviewer record against them, and the prices and figures that follow. This is processed to produce a deductions schedule and, where a claim is disputed, a pack of evidence for the deposit scheme. The lawful basis for this processing is your agency's own basis under your tenancy agreements and your instructions to us as your processor.

Where it is held

Photographs and case data are stored with Supabase in London. The application itself runs on Vercel, also pinned to London. Both are sub-processors acting on our instructions.

Your rights

A tenant or landlord with a question about their data should raise it with the agency first, since the agency is the controller and holds the tenancy relationship. Where a request needs our help as processor, write to ops@autimized.io and we will support the agency in answering it within a reasonable time.
